When someone joins your team
When a new hire, freelancer, or agency joins:
- Make a list of what they need access to - e.g. Webflow, analytics, ad accounts, file storage
- Invite them using their work email (not personal)
- Set the right role or permission level - don’t give admin unless they need it
- Log the invite somewhere - so you know who has access to what

When someone leaves your team
If an employee, contractor, or collaborator leaves:
- Revoke or downgrade their access on all platforms
- Change shared passwords they might still know
- Review any email forwarding or ownership settings
- Check if they’ve exported or downloaded anything sensitive
It’s rarely personal - it’s just good practice.
Shared accounts vs individual access
Wherever possible, avoid shared logins. Use account-level permissions instead. This means:
- You can track who made which changes
- You don’t have to reset everything when someone leaves
- You reduce the risk of accidental edits or unauthorised access
