Adding or Removing Team Members

How to give (or take away) access to your digital platforms.

People come and go. Roles shift. Agencies move on. The important thing is that your business always stays in control - and that starts with knowing how to update who has access to your website, accounts, and assets.

Here’s how to do it properly.

When someone joins your team

When a new hire, freelancer, or agency joins:

  1. Make a list of what they need access to - e.g. Webflow, analytics, ad accounts, file storage
  2. Invite them using their work email (not personal)
  3. Set the right role or permission level - don’t give admin unless they need it
  4. Log the invite somewhere - so you know who has access to what

When someone leaves your team

If an employee, contractor, or collaborator leaves:

  1. Revoke or downgrade their access on all platforms
  2. Change shared passwords they might still know
  3. Review any email forwarding or ownership settings
  4. Check if they’ve exported or downloaded anything sensitive

It’s rarely personal - it’s just good practice.

Shared accounts vs individual access

Wherever possible, avoid shared logins. Use account-level permissions instead. This means:

  • You can track who made which changes
  • You don’t have to reset everything when someone leaves
  • You reduce the risk of accidental edits or unauthorised access

Platforms like Webflow, Google Analytics, and Meta Business Manager all support this.
